Summary

The Secretary will provide various levels of administrative support for the EB. Under this contract EB seeks to contract with a practitioner experienced in performing secretarial and administrative tasks. The primary responsibility of this position is to assist the DAS for Counter Threat Finance and Sanctions as his primary Secretary, while also providing administrative support to TFC and SPI personnel. They will bring the required experience and expertise to provide the required in-depth support and perform the Duties and Responsibilities shown below.

Essential Functions

  • Maintain the DAS's calendar, establish meeting priorities, reschedule and arrange for substitute representation as appropriate.
  • Makes travel arrangements for the DAS, including securing travel and hotel reservations, passports, visas, and other travel documents.
  • Review, analyze, and screen visitors, incoming phone calls, and emails, determine nature of request, route issues of overriding and central importance to the DAS and all other inquiries to appropriate staff, while providing routine or procedural information, as appropriate.
  • Assign for action/respond to all communications coming into the office; recommend staff assignment for action based on knowledge of priorities, staff workload, and program goals.
  • Review, draft, and processes correspondence for most non-technical matters; identify items which need to be brought to the attention of the DAS and refer other correspondence to appropriate staff; use a variety of software in support of the office (e.g., Microsoft Office, E2 Solutions, ILMS, etc.)
  • Maintain liaison - as needed - with senior officials and their representatives both within and outside the Department. Make independent decisions on selected matters that can be resolved with own expertise. If necessary, engage bureaus and offices in anticipation of the DAS's needs.
  • Establish and maintain multiple types of office records to enable quick and efficient retrieval of information, and purge files as appropriate.
  • Prepare and submit requests for office supplies, printing support, and related materials for the DAS as well as TFC and SPI personnel.
  • Provide administrative support for meetings and conferences - e.g., schedule, gather background materials, reserve appropriate facilities, clear and escorts visitors; attend as required to provide administrative support; and
  • Process time and attendance for the DAS, as well as TFC and SPI personnel.

Supervisory Responsibility

None required for this position.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Must be able to remain in a stationary position 75% of the time.
  • Occasionally moves about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • Expresses or exchanges ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
  • Frequently moves standard office equipment up to 25 pounds.
  • Must be able to work indoor conditions 90% of the time.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

Position Type/Expected Hours of Work

This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Evening and weekend hours required, as required by business need.

Travel

All training and travel must be approved by the Contracting Officer's Representative (COR) in advance. Required travel abroad will be funded as needed and approved by the Government and will follow Federal Travel guidelines and allowances.

Experience

Must have prior experience in a fast paced, high energy, environment in a Secretary or administrative position.

• 3+ years of professional experience

• 1+ years of experience in an administrative position

• Experience in general administrative practices within Federal Government.

• Experience working with staff at all levels.

• Experience with Microsoft Office suite.

Education

Bachelor's Degree preferred but not required

Security Clearance

Must possess a SECRET security clearance, with the ability to obtain/maintain a TOP SECRET security clearance.
